The easiest way for schools to collect and track payments is to keep every fee on one platform. With SignUpGenius, you can add payments to a sign up, set up recurring tuition, sell event tickets, or run a fundraiser, all from the same account. Parents pay from any device, and every payment shows up in one dashboard, so no one has to match envelopes to names.
This guide is for the people who handle the money: front office staff, PTA treasurers, room parents, and teachers running a field trip.
Start with one sign up per event. Each slot is a fee or an option, like a trip fee, a photo package, or an instrument rental. You decide if payment is required or optional.
Parents pay in the same step they sign up. Each payment is tied to the slot they picked. Your report shows who paid, how much, and for what.
Parents also get a confirmation email right away and reminders before the deadline. Fewer families miss the cutoff, and you send fewer follow-up emails.
Common school fees and how to set them up:
| School Event | What to Collect | Setup Tip |
|---|---|---|
| Field trips | Trip fee per student | Add chaperone slots to the same sign up so fees and helpers are in one place. |
| Picture day | Photo package choices | Make one slot per package so every order shows which package was paid for. |
| Band and orchestra | Instrument rentals, uniform fees, supplies like reeds | List rentals and supplies as separate slots so parents only pay for what they need. |
| Sports and clubs | Season fees, uniforms | Set a quantity limit on each slot so you never take more sign ups than you have spots. |
| Plays, concerts, and dances | Ticket sales by seat type or price | Use Tickets to send QR code tickets and scan them at the door with your phone. |
| School fundraisers | Donations toward a goal | Use Fundraisers to show a progress bar and offer recurring giving. |
| Class gifts and supplies | Set amount or any amount | Make payment optional for donation-style asks so every family can join in, or set up a Group Gift to easily collect funds for a gift card. |
Genius Tip
Add a custom question that asks for the student's name and teacher. Your payment report then sorts by class, not just by parent, which makes handoffs to the front office much easier. Custom questions are included on Silver plans and up.
Compare plan featuresTuition and program fees repeat. Afterschool care, preschool, weekly lessons, and enrichment classes often bill every month. Sending invoices and tracking who paid takes hours.
A recurring payment fixes that. Parents sign up and agree to the schedule once. Payments then run on their own until the end date you set. You see each payment as it comes in, and families don’t need a new link every month.
You can also collect enrollment details in the same checkout. Ask for emergency contacts, pickup names, or a signed waiver while parents pay.
Dues and Fees
Built for tuition, program fees, and registrations
Set the amount, how often it's charged, and the start and end dates. Add enrollment questions or an e-signature field so registration and payment happen in one step. Dues and Fees is included on every plan, including Free.
See how to set up recurring fees and registrationsIn a PTA or PTO, the treasurer usually owns the money. At the school level, a bookkeeper or business manager handles it. Teachers and room parents often collect for class events and pass the money along.
That handoff is where money gets lost. Online payments remove it. Each committee can run its own sign up, and the treasurer sees every payment in the same account.
A few habits keep the books clean. Give each event its own sign up so totals don’t mix. Export the payment report after each event and file it with your meeting notes. Add the committee chair as a co-admin so more than one person can see payments. Additional admins are included on Gold plans and up.
Genius Tip
Selling spirit wear? Online Stores track inventory by size and color and mark items sold out on their own. Parents order online, and you can offer free pickup at school so there's nothing to ship.
See how Online Stores work for school spirit wearNot every family pays online, and some events happen at a table. Book fairs, concession stands, spirit wear tables, and ticket sales at the door all bring in cash and cards.
Record cash and check payments on the sign up as they come in. Your report stays complete, so online and offline money live in one place.
For cards, you can take payments in person with a card reader or tap to pay right from your phone. In-person sales show up next to your online payments, so there’s nothing to match up at the end of the night.
Online sign ups also help with last-minute fees. If a parent learns about a field trip fee the night before, they can pay online instead of hunting for cash.
In-Person Payments
Tap, dip, or swipe at any school event
Pair a card reader with your phone, or skip the reader and use tap to pay. Sell tickets at the door, run the concession stand, or take donations at a school event. Point of sale is available on every plan, including Free, and in-person sales are tracked with your online payments.
See how in-person payments work at school eventsPayments on SignUpGenius are processed by Stripe. Card details go to the processor, not to the school or the volunteer running the sign up. You never handle card numbers.
Parents don’t need an account to pay. They can use a credit or debit card, eCheck, Apple Pay, or Google Pay. Withdrawals to your bank account are free.
Two simple steps protect your group. Connect payouts to the school’s or PTA’s bank account, not a personal one. Give admin access only to the people who need it.

How can schools track event-related fees and collect payments?
Schools can track event fees by collecting every payment through one platform. On SignUpGenius, you can add payments to a sign up for field trips or picture day, sell tickets for plays and dances, or run a fundraiser. Every payment lands in one dashboard you can sort by event and export.
How do I simplify tuition payment collection?
Set up recurring payments so families commit once and are charged on a schedule you choose. With Dues and Fees on SignUpGenius, you set the amount, frequency, and end date, and collect enrollment details in the same checkout. You stop sending monthly invoices and chasing late payments.
Who collects money at school?
At most schools, the bookkeeper, business manager, or bursar handles school funds. In a PTA or PTO, the treasurer manages the money. Teachers and room parents often collect fees for class events and turn them in. Online payments let all of these people track money in one place.
How do PTAs collect payments from parents?
Most PTAs and PTOs now collect payments online so money doesn’t change hands in envelopes. On SignUpGenius, each committee can run its own sign up with payments, and the treasurer can see every payment in one account. Cash and checks can be recorded too, so the books stay complete.
Can parents pay school fees in person?
Yes. Organizers can record cash and check payments on the sign up. For cards, SignUpGenius point of sale lets you accept tap, dip, or swipe payments with a card reader or tap to pay on your phone. In-person and online payments show up together in one report.
Is it safe for parents to pay school fees online?
Yes. SignUpGenius payments are processed by Stripe, and card details go to the processor, not to the school or volunteer. Parents don’t need a SignUpGenius account to pay, and they can use a card, eCheck, Apple Pay, or Google Pay. Organizers never see full card numbers.
