How to Use Calendar View and Sync Sign Ups to Your Calendar

- You might want your sign up to display as a calendar instead of a list.
- You might want to sync something you signed up for to your own digital calendar.
- Or you might want to sync an entire sign up you created. Here's how each one works.
Show Your Sign Up in Calendar View
Sign ups default to a list view format, but if your sign up spans multiple dates, you can display it as a calendar instead. This gives participants a visual way to see availability across the month.
- Log in and go to your Created sign ups. Click Edit next to the sign up you want to change.
- On the Settings tab, scroll down to Preferences and find General Settings.
- Check the box to show calendar view by default.
- Click Save.
Don't See the Calendar View Option?
Calendar view is only available for multiple-date sign ups. If you don't see it as an option, you may need to turn it on in your global account settings first.
To update your global setting:
- Click your profile picture or initials in the upper right corner.
- Choose Settings.
- Click the Sign Ups tab.
- Turn on "Show Calendar view by default."
Once that's set, go back to the sign up you were working on and the option will be available.
Sync What You Signed Up For to Your Personal Calendar
Anyone who's signed up for a slot, not just organizers, can sync that commitment to their own digital calendar. There are a few ways to do it:
- Right after signing up: the Thank You page includes icons to add the item directly to Google Calendar, iCal, or Outlook.
- From your account: log in and go to the Signed Up tab. Next to your sign up, click the calendar icon to add that single item, or choose Sync Everything I've Signed Up for to My Calendar to sync all of it at once.
- From your confirmation email: every confirmation includes an .ics file you can add directly to your personal calendar.
Genius Tip
If you're signed up for several shifts across different sign ups, Sync Everything is faster than adding each one individually, and it keeps future sign ups syncing automatically too.
Sync an Entire Sign Up You Created
Available to paid subscribers and sub-admins, Calendar Subscriptions lets you sync one or more sign ups you've created to your own calendar program, so new sign ups and changes appear automatically.
- Log in and click the Tools icon on the left side of your account.
- Select Calendar Subscriptions.
- Choose Create iCal Feed.
- Enter a name in the Calendar Title field.
- Click Add Sign Up and select up to five sign ups from your account, then click Add.
- Choose whether the calendar should include filled slots, unfilled slots, or both.
- If you'd like participants to be able to sync the same sign up(s) to their own calendars, click Link Sign Up.
- Click Save.
Once created, click the calendar icon under Subscribe to choose Sync to my Calendar, or click Calendar Help for details on syncing to specific calendar apps, or to find your webcal link.

What's the difference between Calendar View and calendar sync?
Calendar View changes how your sign up displays to participants, as a calendar instead of a list. Calendar sync is a separate feature that adds items to an external digital calendar, like Google Calendar or Outlook.
Do I need an account to sync what I signed up for?
No. The Thank You page and confirmation email both let you add your item to your personal calendar without an account. Having an account gives you the Signed Up tab option to sync everything at once.
Is Calendar Subscriptions a paid feature?
Yes. Calendar Subscriptions is available to paid subscribers and sub-admins assigned to the account.
Can participants sync a whole sign up, not just their own item?
Yes, if the organizer enables Link Sign Up when setting up Calendar Subscriptions. Otherwise, participants can only sync the individual items they signed up for.
Why don't I see the option to turn on Calendar View for my sign up?
Calendar view only applies to multiple-date sign ups, and it may need to be turned on in your global account settings first, under Settings on the Sign Ups tab.
