ALL volunteers for this event are

required to have a current (not expired)

background check on file with ALA-Coastal since these

positions will oversee students.

At checkin: Volunteers are required to present their photo I.D. and their Secure Volunteer card.

The Details

 

Upon arrival, volunteers will check in at the PTO table (located in the gym foyer) to check in.

Volunteers will be issued a temporary lanyard that will be returned at the end of your volunteer time.

These lanyards will make you easily identifiable to students, familes and administration.

 

Volunteers may sign up for more than 1 volunteer time as long as those times do not overlap with each other. 

 

Please take note of the beginning and ending times of your volunteer role.

This will ensure seamless coverage in all areas.

*SET UP* : 3:30 PM ARRIVAL TIME : EVENT SET UP : (6)

Arrive at 3:30 to the middle school gymnasium to help setup and decorate for the dance. ** Some heavy lifting required for table setup **

*BREAKDOWN* : 7:45 PM ARRIVAL TIME (6)

Arrive at 7:45 PM, check in at the PTO table, and help breakdown all dance decorations and setup. ** Some heavy lifting required for table breakdown **

 

*FOOD SERVICE* : 5:30 PM - 8 PM (6)

** Sanitation gloves will be supplied and required for food handling * Banquet tables of food will be setup where parent volunteers will stock and serve students. Students may NOT serve themselves to ensure food is not overly handled and touched.

*BATHROOM ATTENDANT* : 6 PM - 7 PM (2)

Monitor Bathroom areas to ensure students are utilizing these facilities under their intended purpose. Volunteers would stay outside the restrooms to monitor restroom traffic. **Great dance floor view from this area**

*BATHROOM ATTENDANT* - 7 PM - 8 PM (2)

*ENTRANCE/EXIT MONITOR* : 6PM - 8PM (4)

Volunteers would stay in the front foyer/entrance area of the gym to ensure students do not leave the building unless supervised by their guardian. Students are not to pass the threshold to go into the lobby. Please kindly ask if child has a need.

*DANCE MONITOR* : 5:45 PM - 8 PM (4)

Volunteer would stay in motion throughout the gym to monitor dance attendants and provide assistance/answer questions where needed. Collect trash, ensure students are being safe while dancing, no running, no picking up other students, etc.

*Cleaning Crew* : 6:30 PM - 8:30 PM (6)

Monitor trash during the dance, ensure trash cans are emptied as they need, take trash to dumpster by Elementary building, and cleanup after the dance. Please comment if you have a truck or vehicle you can transport trash to dumpster at the end of night

 

**PICK UP** MONITOR : 7:45PM - 8:45PM (6)

Assist with students pick up by guardians. Write 10 students names on clipboard and then walk inside for the students to be called out, then repeat.

 

*SIGN IN STUDENTS* : 5:30PM - 7:30 PM (6)

You will have a clipboard and have guardian sign in their student: (Guardian & student name and contact #) Remind parents of pick up time.

 

**DOOR MAN** : 5:30PM - 8:30 PM

MUST be comfortable with telling students they cannot exit the building. May leave as soon as all students are picked up.

 

Photographer: 6pm to 8pm (2)

Please take photos of "all of the things." You will upload your photos and videos onto a Google photos account at the end of the event. (Ask students to take group photos/candid photos) We want to ensure we get a photo of everyone.

*PHOTO BOOTH LINE HELPER* : 6PM - 8PM (2)

We will have 1 photo booth. Volunteers will help keep kids in order and the line moving. at 7:30/ 7:45pm, close the line so no more students may get in line. Company closes the booth at 8pm SHARP.
