ROOM IN THE INN
2018-2019 Hosts/Hostesses Overnight Duties
THANK YOU for your willingness to manifest the hospitality of Westminster Presbyterian Church
by serving as an overnight volunteer for hosting our Room In The Inn guests!
We will be using the 2002 church bus. If you will (or might) be driving, please sign the insurance form, and return it to the church office as soon as possible. Forms are to be in the office two weeks before you drive so they can be sent to the insurance company. You can’t drive unless there is an approved form from the insurance company in the church office. If there isn’t an insurance form attached, you are already approved. You must be a WPC member to drive. If you have not driven the bus, please call to set a time with Carl for training. You can do this when you come to get the keys and should only take 15-20 minutes, but please remember to call ahead to check Carl Sutton’s availability (615-292-5526).
Bring current newspaper and recent magazines, such as sports, news, literary, or educational publications. Please also bring DVD’s of movies that have broad appeal. Guests usually love to watch movies after dinner!
Pick up the keys and driving/parking information from the church office between 8:30 a.m. and 4:30 p.m. on Wednesday.
Meet in Goodpasture Hall at 6 p.m. to unpack your overnight supplies (blow up mattress, sleeping bag, etc.) and to greet the other hosts. One or two volunteers should drive to the Room In The Inn facility to pick up the guests promptly at 6:20 p.m. The bus holds 15, so if 2 hosts go we can only accommodate 13 guests. The church buses will be located in the Mayfair parking lot.
Directions to RITI: Please refer to the Room In The Inn directions that you picked up in the office.
Upon returning to the church, park on the Mayfair side and come through the main entrance of the building.
Before eating at 7 p.m., please welcome our guests. Let them place their belongings in Room 10, and then ask a volunteer or guest to offer a blessing. Dinner will be in Goodpasture Hall.
Hold showering until after dinner. For those that shower, make sure to have a host give them a hygiene kit, t-shirt, underwear, and socks from the RITI closet. Please keep count of how many didn’t go to shower and then bring one of each to those guests.
Lights out at 10 p.m.
Couple of extras: Smoking is allowed outside. A TV and activity box will be available. Please be sure that a pitcher of water and cups are available in the overnight room.
We have a closet where all RITI equipment is kept. Please have a host hand the items from the clothes closet to our guests. We try to keep a supply of socks, briefs, t-shirts, razors, etc. in this closet. Please ask our guests to take only one each, so that we will be sure to have some for the next group. Notify the church office (292-5526 8:30 a.m. – 4:30 p.m.) if we are running low on supplies.
Wake up early! At 5:30 a.m., wake everyone. Breakfast will be served in Goodpasture Hall. Milk, lunches, juice, etc., will be in Goodpasture Kitchen. See below on how to make coffee. Take our guests and their blankets to the Room in The Inn facility by 6:30 a.m. Most guests like to leave by 6:00 a.m. so they can get back to Room In The Inn.
Coffee Instructions: Screw top off coffee dispenser below the brewer. After placing two bags of caffeinated coffee grounds in the filter, hit “Brew C”. Stick filter all the way in or else it won’t brew. Press “On”. Check on it periodically to make sure it does not overflow.
One host should pull van outside the ramp from the Goodpasture Hall and warm it up for guests upon their departure.
Room In The Inn provides 1 blanket per person, which should be returned the next morning along with the guests. We provide sheets, towels, and additional blankets.
BEFORE YOU LEAVE WPC: Please be sure to put the used towels and sheets in the black or blue or tan canvas bags, and leave the bags in the hall outside Room 10 so they can be picked up to be washed. Please fold the blankets (that belong to WPC) and place them neatly in Room 10. Check the bathrooms for towels and make sure faucets are turned off. Please stack all mattresses in the southeast corner of the room.
Return keys and rearview mirror decal to the church office on Thursday morning; please make sure they are given to a person, (not just left somewhere).
You will need a pillow and a sleeping bag or a blanket.
Make sure all ovens, stoves, and coffee pots are turned off before bed and before leaving in the morning.
FOR YOUR INFORMATION:
Many of our guests enjoy hot sauce on their food. The bottles are marked Room in the Inn and can be found in the blue tub in in the overnight room. (Please return them there when finished).
For medical emergencies, disturbances or fire, call 911.
Any other problems, i.e., minor medical or disturbance, call Room in the Inn at 251-7019 or (251-7064 after 8 p.m.).
