Children in Bloom Auction 2019

Calling all 2019 Auction Volunteers! The 2019 Children in Bloom Auction is the school's largest fundraiser of the year and much of it's success depends on our dedicated and enthusiastic volunteers. We need volunteers for various functions before and during the auction. 

We have recently added volunteer slots for ticket sales following Mass during the months of Feburary through March to help promote our early bird ticket pricing. We would also like to ask for more volunteers to help coordinate city-themed auction baskets. Once you sign up, our Acquisitions Chair will reach out with details.

This task is performed during the day or evening from October 2018 - February 2019. Send out donation letters (mail, email, in person) to solicit donations from local businesses. Coordinate with Acquisitions Chairperson, Karen Hathaway.

Design, print and deliver invitations to school, church and other parties.

Basket Packaging & Wrapping Chairperson

Coordinate and wrap donated items / packages after they are entered into the system. This position will require work throughout auction process (September – May) and as items are received. Photograph completed baskets, post photos to social media.

Provide information to classroom volunteers and teachers including deadlines and basket needs. Organize collection of classroom baskets and teacher donations.

Work the check in / check out table for cash and credit cards on the night of event (5/18/19). Coordinate with Event Night Coordinators and IT Chairperson.

Event Night Coordinator

Coordinate all volunteers for event night success Oversees: Welcome table, raffle, flower pot, ticket sales, live auction spotters, bid recorders, raffle winner recorder, silent auction close off, package distribution, load up.

Collect all funds, count, document. reconcile, make bank deposits, provide financial report. Order credit card readers. Coordinate Check in and Check out crew. Report to GAP Board.

Set up giving tree in Narthax for Masses on two weekends. Reload tree with tags as needed, collect donations after Masses on a specified date, take tree down after collections. Coordinate with Acquisitions Chairperson.

Raffle and flower pot ticket sales during evening of event. Coordinate with Event Night Chair who will pick up sales sheets and money at the end of each raffle to be submitted to Financial Chair, Erin Dawkins.Volunteers will work a one hour time slot.

Help load up vehicles at the end of the evening of items to be retuned to the school. Coordinate with event night Chair.


Venue Chairperson

Coordinate all venue related activities. Contract with venue, floor plan, menu, bar, music, centerpieces, package transport to venue day of event and event set up at venue. Report to GAP Board.

Meet at GA at 8am on 5/18/19 to help transport items from school to venue. Set up venue for evening including silent bid tables, live auction area, raffle area, check in/out area, welcome table, centerpieces, bar. Set up complete by 1pm.
