Spring Fiesta and Silent Auction Help Needed

The Spring Fiesta carnival is our largest event of the year, and our Silent Auction is the main fundraiser that is what is the foundation for the next school year PTA budget. Many volunteers are needed, and we will take whatever time you are able to help us with - no amount of time is too small!

For those who are new to HIS, this event is much like a carnival...except better!! For enrolled families of HIS, we provide (FREE!) a full Mexican dinner, the best guacamole I've ever had, aqua frescas, sodas/juice/milk/water, pony rides, petting zoo, 65' obstacle course, carnival games, field-day-type races, laser tag, a DJ who teaches line dancing, caricature artist, balloon artist, face painter, airbrush tattoos, bounce house, and new this year will be 4 bungee air jumpers. This year, we will be allowing families to bring extended family and friends for $10 per person over age 2. It will be a super fun night!

Here are all of the areas I need help with - list is subject to change and it probably will! :)

I need 4 volunteers to purchase items to go into our raffle baskets. We will have 4 baskets and each have a budget of $200 to fill containers I have already purchased. There will be a girl basket, a boy basket, a sports-themed basket, and a water/pool/summer fun basket. I have also purchased a Nintendo Switch as a 5th auction item - it seems to be the hot electronic at the moment. Keep your receipts and you'll do a check request form to get reimbursed.

Putting together 5 raffle baskets the morning of the event - if you are great at making gift baskets we need you the morning of May 4 to help stage them. Wrap supplies will be provided, I have already bought clear wrap and the bins. Will need staging supplies such as small boxes to prop up items inside the bins.

Put together a photo "booth" backdrop with materials supplied - colorful backdrop secured to an 8'x8' banner stand, and fiesta-themed paper flowers secured around the frame of the structure.

Organizing and labeling auction items the morning of the event and prepping Silent Auction frames with printed descriptions.

Decorating Henderson Hall - table clothes on each table with centerpiece, filling baby pools with drinks and covering in ice

Setting up Silent Auction tables starting at 2pm and placing frames/display items on tables.

Manning the check-in and raffle sales tables from 5:45pm-8pm

Manning a second raffle sales table near the stage from 7:30-8:30pm for last-minute purchasers - the baskets will be on display near the stage the entire evening.

Cleanup starting at 8:30 in Henderson Hall - all we have to do is strip all of the tables

Auction Close Out Staff - Confirming Payment Receipt and Handing Over Action Item to Winning Bidder
