Spring Celebration Team

A CALL FOR VOLUNTEERS!

If you are interested in potentially helping with the Spring Celebration please use this sign-up to find a position that you think best fits your skill set. We will have an initial gathering to meet, answer questions and explain the process on Friday January 18th at 6 pm, the Uetrecht-Stevens house, 3058 Victoria Avenue. If you are interested in volunteering but cannot attend our initial meeting, please go ahead and sign-up and send an email to [email protected] letting us know. 

Does your New Year’s Resolution include something along the lines of “…get involved” or “…give back” or “...meet more HPS families”? 

Involvement in HPS’s largest fundraiser - the Spring Celebration - is the perfect place to start! 

Please plan to meet with us and other potential volunteers to learn more on Friday, January 18 at the Uetrecht-Stevens House, located at 3058 Victoria Avenue. We will have details, drinks and appetizers! 

Keep in mind that absolutely no prior experience is necessary; there are varied roles, suiting anyone’s interests/ time constraints. Some include seeking donations from local businesses, creating raffle baskets, helping on the day of the event, and many other job options! We always have a fun group of volunteers! 

Also, save the date for the seventh-annual Spring Celebration on Thursday, April 18, 2019. More details coming soon!

Silent Auction Donation Solicitation (In person) (12)

You will hand-deliver a letter to local businesses and ask if they would consider making a donation. After, you will follow up and collect the donations made (if they did not just send it in). A list of businesses will be provided

Silent Auction Donation Solicitation (Via Email/ Online) (6)

You will send emails and/or complete online donation request forms, asking for donations. (A list of businesses will be provided. A basic letter will be given to you, but you might personalize them to appeal to that particular business.)

Sponsorship Solicitation (2)

Along with another volunteer, you will make phone calls to local businesses to follow up after the letter sent out 2 weeks ago and see if they are interested in sponsoring the event.

 

Room Basket Leader

You will help organize the Room Basket Raffle and be the point-person. You will work with the team to communicate with room parents about the basket themes, collect goods from the classrooms, arrange the items into baskets, and sell tickets at the event.

Room Basket Helpers (5)

You will communicate with room-parents and classroom parents, collect the donated items from the classrooms, and work with the other basket volunteers to divide up the goods and arrange the baskets. Some RB Helpers will sell raffle tickets at the event.

Room Basket Ticket Sales Organizer

You will be on the Room Basket Team, primarily focusing on selling pre-sale raffle tickets (by making sure they are filled out correctly, putting them in the correct raffle bins, etc.)

Copier/ Miscellaneous Clerical Work (2)

You will help with the communication being sent home in Tuesday folders, by making copies at the school copier, putting copies into teachers’ mailboxes, etc.

Auction Data Entry (2)

Along with one other volunteer, use bidr.co (our selected auction platform) and enter the donated items into the program (and add pictures if necessary). This would take place the week before the event.

Along with one other volunteer, you will sell the 52 cards the NIGHT OF the event.

Teacher Experience (2)

Along with one other volunteer, you will solicit teachers to plan an event aimed at students that will be auctioned/sold through EventBrite

 

Event MC

Are you a charismatic and love the limelight? We would love to have someone to welcome the crowd, present winners and monitor the evening's agenda to ensure that our event runs smoothly! We also welcome a team to MC for our event!
