(As soon as we get 3 people signed up on that date, and a backup, we will change it to a CONFIRMED date after the date is confirmed with PNC. Throughout the year, more dates might be added for Concerts, Basketball, and other events. )
Apex Band Boosters and Alumni: Come and earn money for your student’s band account and the Band Booster General Fund by working at the PNC Arena! For the 2017-18 season the Apex Band Boosters will most likely be working a Dip n Dots and Breyer's Ice Cream stands (P308/306) for a majority of the events. (Known as P308DOTS/P306DIP on PNC terms). Some events we will work a Gourmet Pretzel Cart (named ....PMGR) See date for specific locations. Each person needs to sign up for themselves and in the comment box - please put the name of the band student that you will be working for. For example, if a husband and wife is going to work an event, please sign up with one name in each slot and put the band student's name in the comment section. ex. Description of Work: We scoop Dip N Dots and Breyer's Ice Cream. We count beginning and ending inventories, operate cash registers, prep and serve food, and clean the stand after closing. On occasion we work one of the gourmet pretzel stands. You are on your feet for the entire duration of the event. You do get one short break during the event. Some events we will be working a Gourmet Pretzel Cart instead. Instructions are available on our Google drive.
- PLAIN Black slacks, Black Pants or Black Trousers are to be worn. No other fashion pant clothing will be accepted. NO JEANS, NO CARGO PANTS, NO CAPRIS and NO CORDUROY PANTS are allowed.
- PLAIN Short Sleeve Black Polo with No Logos. (We are NOT wearing the Apex Band Boosters Embroidered Polo since everyone does not have one, so our Approved Uniform for PNC is the plain black short sleeve polo).
- Black closed-toe/heel shoes. Shoes have to be black
- Black hat See fundraising coordinator
- Band Booster apron (provided at event).
For those of you who may be cold during the hockey games you are allowed to wear a plain black long sleeve crew neck shirt (made of good quality material such as 50/50 Cotton/Poly- no T-Shirt material) under the approved uniform black polo shirt. Turtlenecks are not allowed. All cart workers must dress consistently on the top.
You also need to bring a small calculator, small pad of paper and a pen and/or pencil(s).
Cart Leaders represent Apex Band Boosters while at the venue as well as interact with PNC/VAB Catering - this also includes leading the close out activities such as reconciling the cash, sales and inventory at the end of the evening (with everyone's assistance!).
Cart Leaders MUST have experience operating the stand, if you are unsure of how to operate the stand please sign up for the "Cart Worker" slots, and tell the Stand Leader that you want to be trained.
To be a stand/cart leader - you need to be reliable, on time, follow the rules, and be happy to be there, and be willing to train others how to work the stand.
Most of th events we operate a Dip ‘N’ Dots and/or Breyer's ice cream cart, so workers can arrive no later than 45 minutes before doors open as there are only a few items to count and get ready for the event. For hockey games, stands and carts are closed shortly after the 3rd period begins. For NC State B-ball games, stands and carts are closed shortly after halftime. This is when closing inventory, cashing out and cleaning begins. No one can leave until this is completed. The Cart leader takes the money and receipts to the cash and business offices after the game. When a cart worker is training as a stand leader, he/she goes with the stand leader 1 or 2 times before leading a cart.
NOTE: Anyone signed up to work an event MUST show up to work as scheduled. If you find you cannot work a date that you signed up for, YOU MUST find another parent to cover your shift (use the SWAP option to ask another parent to swap with you) BEFORE THE GATE LIST IS SENT IN. Gate List is sent in 4 days prior to the event date. If you must do this after the gatelist is submitted, let Chris Or Karen (Backup) know so the gate list can be updated otherwise the person who takes your place may not be able to gain entry. Under no circumstances should ANYONE contact PNC/VAB catering. The PNC coordinator will communicate any changes to the gatelist with PNC/VAB catering (see "The Fine Print" below). There is also a place for people to sign up as “Extra Workers” if the assigned number of workers has been filled. These people can be used to swap with.
How Staffing Works: We usually need 3 people to staff an Ice Cream cart; 1 stand leader and 2 workers. Sometimes only 2 are needed if there is no Breyers to sell. Pretzel Carts need 3 also.
Payment: Each worker is paid a minimum of $45 for every hockey game and NC State B-ball game (providing your inventory and cash balance). If the event states "Stand Bonus", the minimum goes up for each worker.
Parking & PNC Entrance
All non-profit volunteers will park in the employee parking lot by entering Gate C off of Trinity Road (Carter Finley parking lot). Please use the stairs with the red rails and cross the PNC West Lot. If there is a parking attendant, tell him you are with Apex High School. The volunteer group entrance to the PNC Center is on the West Side of the Arena (to your left as you walk from the parking lot). You will see other employees walking this way. Continue past the West Guest entrance and follow the stairs down to the Mezzanine Level. There will be a metal sign directing only employees past this point. The Employee entrance is the first door on the right.
Volunteers will check in with security and give them the name Apex High School.
Proceed past the security table and at the T, you will turn right. The first door on the right is labeled “volunteer check-in”. You will need to first go to the locker room before you check in.
First you will need to go to the locker room and put your items in the locker and put your full uniform on (Tuck in black polo shirt, put on apron and your black hat). After the security table, turn right, and take next left. You will see vending machines and coolers on the left and there will be a hallway to your right. The woman’s locker room is the door at the end of the hallway.
Mens Locker room is at beginning of hallway.
The stand leader will have the bag with the Apex Band Booster Aprons. The bag with aprons will either be left in Mens or Womens locker room depending on who the stand leader is. We will inform you on whether the apron will be in the locker room or if one will be left at the table at check-in.
You cannot have cell phone or purses with you at the stand. If you have to use your phone you will need to go on break to use your phone (ie in the break room downstairs, our outside in the employee area outside the security check in). You have to use employee cup with lid and straw if you want to bring lemonade/water/sweet tea to the cart. You can find the cups/lids in the employee break room. If you are going to use a locker in the locker room, you will need to bring your own lock.
After you are in your full uniform you will go to check in at “volunteer checkin”.
After you enter the “volunteer check-in room, you will see a table to the left which has a binder on it. The binder has all of the volunteer group sign in sheets and they are usually listed in ABC order so Apex is usually on top. At that same table will be the volunteer group badges that will be signed out for the evening. There is one badge per stand, only the group leader can sign out the badges. You will also find meal coupons attached to the badges. Please print your name on the sign in sheet and note your arrival time (There is a small digital clock located next to the binder with the current time).
If you forget which cart we are working that night, the sign in sheet will list which cart. A majority of the time we will be working P306/308 Dip N Dots/Breyer carts.

THE FINE PRINT (please read): This opportunity, as well as Walnut Creek concessions and Staff One ushering at college football games is just that an OPPORTUNITY. These are not something the band boosters MUST offer, these are something we CHOOSE to offer. Likewise, these are not opportunities that are guaranteed to be offered year after year. Fellow booster members volunteer to coordinate each of these opportunities on their own time - in addition to their volunteer hours for the boosters, in addition to their family time, in addition to their work/school/church obligations. The most difficult part of coordinating is when people don't follow rules, don't read their gatelist emails, arrive late, or worse yet back out at the last minute, etc. We are ALL volunteers, but the APEX BAND BOOSTERS signs a contract to provide staffing for these events. Some contracts include a clause to back charge us if we fail to provide the staffing required. Everyone who agrees to staff an event represents our team - if anyone consistently arrives late OR does not follow rules of staffing these events OR creates a history of backing out of commitments to staff events at any OR all of these opportunities - may be removed from all of these opportunities across the board. We really do not want to have to do this to any of our members - so please be on time, read your gatelist emails, know when to be at the stand, bring whatever supplies are required (ie. pen/pencil/calculator/hat, etc). Come prepared and happy to be there and willing to help show new parents what to do. Things will also change and morph throughout the season, please be flexible and a good representative of the Apex Band Boosters. This may also indirectly by example teach your students to follow through with their commitments!
