2019/2020 Highcrest School Store

Thank you for volunteering in the Highcrest School Store, the Hawks Hut!  This is a highlight for many students.  Please read through the following procedures to ensure the school store runs smoothly.  Note, these instructions will also be in the cashbox.


CANCELLATIONS: The kids really get excited about purchasing items from the Hawks Hut.  Please help us keep the store open by ensuring that there are adequate volunteers.  If you cannot make your shift, please make every effort to find a replacement.  If a replacement cannot be obtained, please contact Lyndy Davenport at [email protected] or Tara VanderKamp at [email protected]


IMPORTANT:  The first shift should arrive 10mins early to set up, etc. Both shifts should log sold merchandise on the inventory list.  Store instructions and a log/tally example can be found inside the cashbox and cart. 


NOTE:  Please do NOT take photos of students in the cafeteria as there are students that have opted out of photo permission.


Opening store:

1.      Check in at Front Office and collect cashbox (cart keys in cashbox).

2.      Head to cafeteria and locate the bright yellow Hawks Hut School Store cart on ramp.

3.      Turn cart so logo is facing outward and towards the ramp.

4.      Unlock bottom sliding doors of cart. Keep keys inserted in lock.

5.      Remove merchandise from the inside top shelf and place it atop the cart.

6.      Time permitting, count money in cashbox; there should be $65.

7.      Time to SELL, SELL, SELL!

8.      Tally sold merchandise on the inventory list. Give this sheet to the next shift.

9.      At the end of your time slot (11am-12pm), please wait for next shift (12pm-1pm) to arrive.   

         If no one shows up, feel free to stay.  If unable to stay, please follow closing procedures.

Closing store:

1.      Return merchandise to top shelf inside of cart. 

2.      Count tallies on inventory list and log total amounts in “Total Sold” column.

3.     Count money in cashbox, log sales and total cash amounts on the inventory list. Leave $65 in cashbox (see denominations below).

4.      Take photo of inventory list and text to 615-500-9655.

5.      Place excess cash and inventory list in baggie (bottom of cashbox); label date and amount.

6.      Place a new inventory sheet (bottom shelf of cart) and cart keys in cashbox.

7.      Shut slider doors and lock cart by pushing in popped out lock.

8.      Push cart against wall as to not block the stairs.

9.      Return cash box to Front Office.

10.    THANK YOU for volunteering!


If possible, please leave the following denominations in the cashbox:

(1)  $20 bill  = $20                      

(1)  $10 bill  = $10                    

(2)  $5 bills  = $10                      

(20) $1 bills =$20 

(20) Quarters = $5
