ENCHANTED GARDEN

It takes many generous volunteers to work closely with one another to pull off a truly unforgettable event like our beloved Enchanted Garden. There are many ways you can help out-- and we would love it if you could! No job is too big or too small, so even if you only have a limited amount of time, we have a job for you!

FRIDAY: Seating Cards & Meal Report Printing 5:00-8:00pm

Assist seating chart manager in printing meal reports, seating charts, dinner table assignment cards and dinner name cards (with meal choice). Must have experience with mail merge.

 

FRIDAY: Silent Auction Item Transport 5:30-7:30pm (3)

Two to Three large vehicles needed to pick up items from storage unit in Hamilton and deliver to the Embassy Suites.

FRIDAY: Silent Auction Early Set Up 6:00-8:00pm (4)

Help to stage silent auction items for overnight storage. Assist with table placement and décor staging.

SATURDAY: Dessert Dash Set Up 10:00am-12:00pm

Help with the set-up of the dessert tables in the ballroom. Lunch provided.

Place all centerpieces, ensure all linens and place settings have been setup properly by the hotel, place bid cards and meal choice cards at tables. Lunch provided.

Ensure all tables are arranged and placed by hotel staff, put final touches on linens. Arrange all silent items in their appropriate areas, place all clipboards and pens. Arrange specialty areas. Lunch provided

Set up the Sign-up Parties boards and arrange all clipboards, pens, etc. Lunch provided.

 

SATURDAY: Reception/Registration 4:30pm-7:15pm (4)

Training to take place prior to guest arrival; Greet Guests, check in, hand out name tags. Register guests into computer, swipe credit cards

Mingle with crowd and solicit raffle ticket purchases – cash raffle and parking spot raffle.

Assist auction software consultant. Enter winning bids from silent and live auction. Assist in printing packing lists, invoices, updated invoices, etc. Dinner provided (not in main dining room)

Assist in staging bags, collecting bid sheets, collecting tangible inventory of auction items. Dinner provided (not in main dining room)

Provide meal placement sheets and assist hotel banquet staff to ensure meals are delivered to the correct tables. Dinner provided (not in main dining room)

 

SATURDAY: Spotters 7:30-9:00pm (2)

Assist the auctioneer during the live event – assigned to a ballroom section & will encourage bidders to keep them motivated. Spotters help alert auctioneer of new activity. Onsite training @4:00, dinner provided (not in main dining room)

SATURDAY: Live Auction Runners 7:30-9:00pm (2)

Gather cards from scribes frequently during live auction and bring to data entry folks. Data is entered to produce invoices quickly. Dinner provided (not in main dining room)

SATURDAY: Fund in Need Tally Person 4:30-8:30pm

Position will be needed during Fund In Need Section of program only. Simple data entry on provided laptop with short training at 4:30pm. Person in this position cannot drink any alcohol until end of fund in need part of auction.

 

SATURDAY: Clean Up Crew 9:00pm-11:00pm (3)

Assist in gathering all decorations and supplies to be returned to school.

SATURDAY: Check Out Registration 9:45-11:00pm

Registration computer monitoring and responding to any ad hoc registration related inquiries, i.e. credit card change from original credit card that was swiped during registration.

 

SATURDAY: Check Out 9:45-11:00pm (2)

Assist in checking people out as they leave the event. Also includes pick up and preparation of the cash out supplies box.
