2018 Woodfin 5K Volunteer Sign Up

Thank you for helping to make the 2018 Woodfin 5K a success.  All assignments begin at Woodfin Elementary School, 108 Elk Mountain Road 28804, unless otherwise noted in the job description.  On Race Day, we will have a volunteer breakfast with coffee available for you starting at 7:00am in the Cafeteria!

Pick up Race Notification SIGNS and place along Race Course (2)

Pick up signs from WES office and place along Race Course to notify drivers and neighbors about race on the roads on Saturday. Can be done any time between 8AM Monday 3/23-3PM Wednesday 4/25, preferably as close to Monday as possible.

Pick up and Distribute FLIERS to neighbors along Race Course (4)

Pick up fliers from WES office and deliver to neighbors along the Race Course notifying them about the race and road closures for Saturday morning.

Pre-Registered Runners- Race Bag Pick Up (3)

Check in Pre-Registered Runners and distribute Race Bags.

Stage Tables and Chairs in Cafeteria (4)

Move tables and chairs from various locations in the school to the Cafeteria. Please allow at least one hour for this task, but can happen anytime in the 3-6pm window.


Line Event Space with Chalk for Table Layout (2)

Mark table locations and assignments on WES driveway with chalk. Allow an hour, but can happen any time in 3-6pm window.

Set Up Event Tables (4)

Set up booths and tables for event. Move tables & chairs from Cafeteria to preassigned spots on the sidewalk. Will likely take only 7:00-7:45am. Feel free to sign up for another slot at a later time!

Register new participants on race day. Encourage legibility as individuals fill out the race entry form. Hand out race bags. Maintain organization and efficiency at registration table.

Pre-Registered Runners Check-In (3)

Assist Pre-Registered Runners (those who have already registered and paid through Run Sign-Up) with the Check-In process. Pass out Race Bags and answer any questions racers may have. Ensure organized and efficient Check-In experience for runners.

Direct traffic along race course. Provide encouragement to runners. Feel free to bring a radio, sprinkler, festive signs, or other wacky accessories. Remember sunscreen, a hat, or chair if you need one.

Restrict finish line to runners only. Timing can be adversely affected if non-registered spectators jump in to finish the race with registered runners.

Volunteer After-Party (2)

Set-Up and manage Firehouse Sub donation for Volunteers after the Race Clean-Up is complete. Do final clean-up of Cafeteria.

Woodfin Elementary School  10:30am - 12:00pm  

WES Take Down/Clean Up (10)

Break down all tents. Move tables and chairs to proper locations in school. Help any vendors break down their tents. Dump coolers. Pick up trash. Return school frontage to normal state.
